This Privacy Policy describes how Jolene Dawn (“we”, “us”, or “the Practice”) collects, uses, and protects your information when you use our student supervision platform (the “App”). This App supports practicum students and their supervisors through onboarding, document management, training, and clinical supervision activities.

1. Information We Collect

Account & Profile Information: Full name, email address, phone number, postal/mailing address, university, program of study, and practum placement details you provide during registration and onboarding.

Onboarding & Application Data: Practicum applications, onboarding questionnaires, academic background, professional goals, consent acknowledgements, and uploaded documents such as a résumé/CV.

Documents & Agreements: Policies, training materials, and agreements assigned to you, along with records of when you viewed or agreed to them.

Training & Engagement Data: Training videos watched, completion status, and time spent viewing documents, videos, and pages within the App (used for supervision and practicum hour reporting).

Forum Content: Posts and replies you contribute to the discussion forum, including any files you attach.

Client Feedback: Aggregated or anonymized client evaluation responses collected for supervision and quality improvement. Identifiable client feedback is handled confidentially and is not shown to the student being evaluated.

Usage & Login Data: Login timestamps, device/browser information, and activity logs used for security and engagement reporting.

2. How We Use Your Information

We use your information to:

  • Manage your practicum placement, onboarding, and supervision.
  • Assign and track required documents, policies, and training.
  • Record training engagement and report practicum hours to your educational institution.
  • Communicate with you about your placement, forms, and account.
  • Maintain the security of the App and prevent unauthorized access.
  • Compile aggregated, de-identified analytics to improve our services.

3. How We Share Your Information

We do not sell your information. We may share it in these limited situations:

  • With your supervisor and the Practice: To deliver supervision, review onboarding, and complete required reporting.
  • With your educational institution: Practicum hours, engagement summaries, and required documentation for academic credit.
  • Service providers: Trusted third parties that host data or provide services on our behalf (e.g., cloud hosting, email delivery), under contractual obligations to protect your data.
  • Legal compliance: When required by law, court order, or to protect the rights, safety, or property of the Practice and others.

4. Data Retention

We retain your information for as long as your account is active and for the period required to meet legal, regulatory, academic, and professional-college record-keeping obligations. Practicum and supervision records may be retained for several years after your placement ends, as required by professional standards.

5. Your Rights & Choices

You may request access to, correction of, or deletion of your personal information by contacting us using the details below. We will respond in accordance with applicable privacy law. Note that some records (such as supervision and academic reporting data) may need to be retained to meet legal obligations even after a deletion request.

You can log out or close your account at any time through the App; engagement tracking stops when you are logged out.

6. Security

We use administrative, technical, and physical safeguards designed to protect your information, including encrypted transmission, authenticated access, and role-based permissions so that students only see information assigned to them. No method of transmission or storage is completely secure, but we work to protect your information using industry-standard practices.

7. Children’s Privacy

The App is intended for adult practicum students and supervisors. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can delete it.

8. Third-Party Links & Content

The App may link to third-party resources (such as external training videos or forms). We are not responsible for the privacy practices or content of those third parties, and this Policy does not apply to them.

9. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above. Material changes will be communicated through the App or by email when appropriate.
